AdvanceIQ Inc. ("AdvanceIQ," "we," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the AdvanceIQ platform and services (the "Service"). By using the Service, you consent to the practices described in this policy.

1. Data We Collect

Account Information. When you create an account, we collect your name, email address, and hashed password. You may choose to provide additional information such as your job title or organization.

Brief Content. The core function of AdvanceIQ is enabling you to create, send, and track "briefs" — structured intelligence documents. We collect and store the content you enter into these briefs, including titles, body text, audience role, urgency level, and recommended actions.

Recipient Information. When you invite recipients to view a brief, you provide their email address and optionally their name. We send brief notification emails on your behalf using the recipient email addresses you provide.

Recipient Interactions. We automatically collect information when your recipients open or take action on a brief, including timestamps and any notes they submit.

Usage Data. We collect information about how you interact with the Service, including pages visited, features used, and the time and duration of sessions. We also collect your IP address, browser type, and device information.

Marketing Attribution. If you arrive via a UTM-tagged link, we may store those parameters in association with your account to help us understand how you found the Service.

2. How We Use Your Data

We use the information we collect for the following purposes:

  • Service delivery: To create and manage your account and deliver the brief creation, delivery, and tracking functionality you signed up for.
  • Email notifications: To send brief notifications and account-related emails to you and your recipients.
  • Analytics: To understand how users interact with the Service so we can improve features, fix issues, and measure performance.
  • Account security: To detect and prevent unauthorized account access, spam, abuse, and security threats.
  • Communication: To respond to your support requests, send service-related notices, and — with your consent — promotional communications.
  • Billing: To process subscription payments via our payment processor.

3. Data Sharing

We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We may share your information in the following limited circumstances:

Service Providers. We use trusted third-party services to operate the Service:

  • Polsia Email Proxy: We use Polsia's built-in email proxy to send transactional emails, including brief notification emails and account-related messages. Your recipient email addresses are processed solely for the purpose of delivering these emails.
  • Stripe: We use Stripe to process subscription payments. Payment information (card numbers, billing details) is handled entirely by Stripe and is never stored on AdvanceIQ servers.
  • Polsia Infrastructure: The Service is built on Polsia's AI automation platform. Your data is stored in a PostgreSQL database managed by Polsia Inc. under a data processing agreement that restricts use of your data to the operation of the Service.

Legal Requirements. We may disclose your information if required to do so by law, court order, or other governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of AdvanceIQ, our users, or the public.

Business Transfers. In the event of a merger, acquisition, or sale of all or substantially all of our assets, user information may be transferred as part of that transaction. We will notify you via email or prominent notice on the Service of any such change in ownership.

4. Cookies

We use cookies and similar tracking technologies to operate the Service. A cookie is a small text file stored on your device when you visit a website.

Essential Cookies. These are required for the Service to function and cannot be disabled. They include:

  • Authentication cookies that maintain your logged-in session;
  • Security cookies that help detect unauthorized access attempts.

Analytics Cookies. We may use analytics tools that set cookies to help us understand how visitors use the Service. These cookies collect information such as which pages are visited, how long visitors spend on the Service, and which links are clicked. This data is aggregated and anonymized where possible.

You can control or delete cookies through your browser settings. Disabling essential cookies will prevent the Service from functioning.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide you the Service. We also retain usage data (analytics events, page views) for up to 12 months in aggregated, anonymized form.

When you delete your account, we will delete your personal information within 30 days, except:

  • Briefs you have already sent to recipients — the content and recipient data may be retained in our backups for up to 90 days after deletion;
  • Aggregated, anonymized analytics data that does not identify individual users, which may be retained indefinitely;
  • Records required to comply with legal obligations, resolve disputes, or enforce our agreements.

6. Your Rights

Depending on your location, you may have the following rights with respect to your personal information:

  • Access: You may request a copy of the personal information we hold about you.
  • Correction: You may request that we correct inaccurate or incomplete information.
  • Deletion: You may request that we delete your personal information, subject to our data retention obligations.
  • Portability: Where applicable, you may request that we export your data in a commonly used, machine-readable format.
  • Objection: You may object to certain processing of your data, such as direct marketing.
  • Restrict processing: You may request that we limit how we use your information in certain circumstances.

To exercise any of these rights, please contact us at privacy@advanceiq.com. We will respond to your request within 30 days. If you are located in the European Economic Area, United Kingdom, or California, USA, you have the right to lodge a complaint with your local data protection authority if you believe we have violated your privacy rights.

California Residents (CCPA/CPRA): We do not sell your personal information. You have the right to know what information we collect, delete it, and opt out of the sale of your information (though we do not sell it). Contact us to exercise these rights.

European Residents (GDPR): We process your data based on the performance of our contract with you (to deliver the Service) and our legitimate interest (to improve and secure the Service). You have additional rights including the right to lodge a complaint with a supervisory authority.

7. Security

We take the security of your data seriously. We implement industry-standard technical and organizational measures to protect your information, including encryption of data in transit (TLS/SSL) and at rest, access controls limiting who can access personal data, and regular security reviews of our infrastructure.

No method of data transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security. You are responsible for keeping your login credentials confidential and should contact us immediately if you suspect unauthorized account access.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the "Effective" date. We encourage you to review this policy periodically. Continued use of the Service after changes become effective constitutes acceptance of the revised Privacy Policy.
